Clerical Assistant / Data Analyst - Center for Health Analytics

This is a part-time 20 hours per week position.
Job Summary:
Assists the Director in providing secretarial support for clerical and administrative duties including data-management functions.
Education   Prefer BA/BS degree from a recognized college or university along with SQL or other data management training or certification.
Experience   Minimum of one year of Clerical and data management experience.
Specialized Skills   Must possess a professional manner, along with strong communications, organizational, and people skills.  Must have the ability to multi-task and possess excellent computer skills including all aspects of Microsoft Office, SQL, Visual Studio (SQL) and other data management and data mining softwares.  Must demonstrate a high level of accuracy and meet deadlines.  Must possess and project a positive and helpful demeanor.

Duties and Responsibilities:
  • Organize and maintain files and record keeping systems as outlined by the Director.
  • Assist the Director with administrative detail and perform a diversified range of clerical and follow-up duties pertaining to the administration of the Center.
  • Observe prescribed standards of confidentiality of records as well as conversations pertaining to the Center, the Business School and the College as well as the clinical and patient records maintained by the Center and any affiliates with whom the Center works.
  • Manage office operations and projects, including maintaining the Centers budget, time sheets and the ordering of office supplies.
  • Managing the hiring and supervision of student workers.
  • Process Center faculty personnel files.
  • Type drafts and final copy of materials, such as memos, agenda and minutes as well as class teaching and examination materials.
  • Organize meetings, agenda and materials.
  • Date/time stamp, sort and distribute office mail.
  • Technically support and perform special projects, especially in data management, as assigned.
  • Coordinate hiring and termination paperwork with Human Resources in a timely manner.
  • Answer telephones, screening calls for the Director and others in the Center
  • Respond and handle inquires and provide excellent customer service to all who come into the offices of Center and other affiliated entities such as the Business Analytics Institute.
  • Monitor faculty course, research and project workloads and review load sheets for the Director.
  • Schedule appointments and maintain the Director’s calendar.
  • Assemble and organize materials for use by the Director.
  • Maintain the Center’s inventory of forms, stationary and office supplies.
  • Coordinate distributions of mailings
  • Coordinate with other departments to receive and/or provide information.
  • Perform other duties and responsibilities as assigned by the Director.
