Manually archive a folder in Outlook

FACULTY & STAFF: Please do not archive your Outlook files when using a public or lab machine. All files stored on public and lab machines will be deleted at log-off or restart. Always archive your Outlook email using your dedicated office computer.

STUDENTS: Following the instructions listed below, archive your email using a lab computer and the store the .pst file on your U: only. All files stored on public and lab machines will be deleted at log-off or restart.

There are 2 ways to archive folders:

1. To the default Archive folder in the Folders List in Outlook.
  a. Click on the folder you wish to archive.
  b. Click File, Archive, and Click one of the following options:
    i. Archive this folder and all the subfolders - Allows you to archive the Home Networking folder using the options available in the Archive dialog box.

    ii. Archive all folders according to their auto archive settings - Archive this folder and all the subfolders Allows you to archive the Home Networking folder using the options available in the Archive dialog box.
  c. In the Archive Items older than list, choose a date from the date picker. In this example, items in the folder created before January 19, 2004 are archived.
  d. To include items that you previously selected not to archive, select the Include items with "Do not Auto Archive" checked check box.

NOTE: To see if items have the Do not Auto Archive this item check box selected, open the item. On the File menu, go to folder click folder Properties. On the Auto Archive tab, verify that the Do not Auto Archive this Item check box is selected.
  e. Click Ok
  f. Your archived folder will appear in the Archive folder (in an Inbox subfolder) in the Folders List in Outlook
  g. Click on the folder to access the emails.
2. To archive all folders other than the default Archive folder:

Note: You may want to save your Archive folder on a flash drive to move to another computer or to back it up on your U: drive
  a. Click on the folder you wish to archive
  b. Click File, Archive and Click one of the following options:
    i. Archive this folder and all subfolders - Archive this folder and all the subfolders Allows you to archive the Home Networking folder using the options available in the Archive dialog

box.
    ii. Archive all folders according to their auto archive settings - Archive this folder and all the subfolders Allows you to archive the Home Networking folder using the options available in the Archive dialog box.
  c. In the Archive Items older than list, choose a date from the date picker. In this example, items in the folder created before January 19, 2004 are archived.
  d. To include items that you previously selected not to archive, select the Include items with "Do not Auto Archive" checked check box.
  e. Click Browse, and then specify a different file name, such as Home Networking Archive.pst, and a location, such as My Documents. You may choose to rename the folder if you are working with multiple folders and you may choose to store the file in a different location to assist in organizing the files or when using an external hard drive as a backup.

NOTE: The default location for Archive.pst is C:\Outlook\ Archive.pst (A .pst file extension is an Outlook data file that stores items such as e-mail messages, contacts, calendar data, tasks, and notes).
  f. Click Ok
  g. Your archived folder will be saved to the specified location.
  h. To access the archived folder:
    i. Open Outlook
    ii. In the File menu, point to Open and the click Outlook Data File
    iii. Navigate to the location where you saved your archived folder and click ok.
    iv. Your folder will now be moved to an Archive folder (in an Inbox subfolder) in the Folders List in Outlook
    v. Click on the folder to access the emails.
